Terms & Conditions For Booking Trips
The Himalayan Golden Oak Adventure applies the following booking conditions to all the trips operated by the agency:
Health and Fitness
We recommend you to consult with your doctor before planning the trip. Most of the trekking in Himalayas requires certain level of physical fitness.
Insurance
We also follow a condition for our guest to be protected by insurance that covers cancellation, accidents, health, emergency evacuation, and loss, theft of or damage to baggage and personal effects. In case of emergency evacuation, the total cost must be paid in cash in India unless an insurance company has agreed to pay the costs on your behalf. It is important to note that your insurance policy covers emergency evacuation including alpinism or mountaineering. Rescue insurance is not available in India.
Delays and Changes in trip itinerary
The guest agrees that The Himalayan Golden Oak Adventure shall not be held responsible for any delays or changes in itineraries caused by an act, omission or other circumstances on the part of domestic airlines or helicopter companies in India, due to natural disasters or conditions beyond the control of the crew. The client understands that such situations may occur, and that we will not be able to inform the passenger of each possible problem.

The itinerary, highlights and excursions as set out in the itinerary will be adhered to as far as possible, but these are to be used as a guide only. The company or trek staff may make omissions or alterations to the itinerary, highlights, and excursions as they deem it to be necessary. Some highlights or excursions may be inaccessible for any number of reasons.
Responsibility
We reserve the right to refuse to continue to carry any client/guest (s) causing inconvenience or annoyance to other guests, or creating difficulties that would hamper the smooth running of a trip. We shall not be liable for any loss or damage to baggage or personal possessions, or any consequential losses resulting there-from. If a client is injured or becomes ill, all evacuation and hospital expenses, doctors' fees and repatriation costs are the passenger's responsibility, and The Himalayan Golden Oak Adventure shall not be liable for any refund of the tour fare. It is the client’s responsibility to have valid passports and all visas and that may be required on the selected tour. We do not accept responsibility for failure to obtain these visas for any reason, and do not accept responsibility for any passports or documents left with us for this purpose.
Changes in price
The prices quoted by The Himalayan Golden Oak Adventure are based on airfares, exchange rates and costs in effect on the date shown. We reserve the right to alter our prices if
Risk Assumption
The client understands that during the course of the trip, certain risks and dangers may occur, including, but not limited to, the hazards of traveling in mountainous terrain, accident or illness in remote places without medical facilities, and the forces of nature. The passenger agrees to assume all risks associated with the journey, and agrees that no liability will be attached these rates change substantially. We may also apply surcharges in the event of significant changes in airfare, government regulations and taxes. We cannot make refunds to passengers who are adversely affected by changes in exchange rates to the company or its outfitters, employees or agents, or to any member of the tour group in respect to death, personal injury, illness or delay of passenger, or for any loss or damage to the property of the passenger during the course of the trip, howsoever caused.
Payment
On confirmation of traveling with us, you will need to complete the booking / registration form and send bank transfer for the amount of 30% of the total cost of the tour - as trip deposit. Bank details will be sent when trip is finalized. On receipt of the trip deposit, the detailed itinerary along with briefing notes and equipment checklist will be sent. Balance payment will be collected on arrival.
(Please note that on payments made by bank transfer, bank charges will have to be borne by the clients)
Refunds
We do not make any refunds if you leave a trip for any reason whatsoever, either voluntarily or involuntarily, after it has begun. There will not be refunds for any meals, accommodation and services not used.
Cancellation
If you wish to cancel; the following scale of charges will apply:
- 25% cancellation fee of the total cost is applicable, when a cancellation is made 15 days prior to departure.
- 50% cancellation fee of the total cost is applicable, when a cancellation is made 10 days prior to departure.
- 75% cancellation fee of the total cost is applicable, when a cancellation is made 7 day prior to departure.
- 100% cancellation fee of the total cost is applicable in case of No Show and last minute cancellation
(Note: This is based on your scheduled arrival date in India)
The tour will not be cancelled from our side unless we are forced to do so because of unusual or unforeseeable circumstances, such as a major natural disaster, major political unrest or war. If we cancel the tour we will promptly refund all payments made to us, i.e. including the deposit. We shall not be liable to refund any additional expenses that you may have incurred (such as insurance, visas, vaccinations and other incidental costs).
